NGO Partners

HPIC’s service to Canadian Non-Governmental Organizations (NGOs)

HPIC works in partnership with many Canadian NGOs. These partnerships support community health projects in the developing world where lack of access to medicines is often critical. HPIC sources Canadian donations of needed medicines, vaccines and medical supplies, and assembles shipments of these products for overseas projects managed by Canadian NGOs.

  1. Contact HPIC.
  2. If partnership looks promising, complete and submit an Agency Registration Form.*
  3. Review HPIC Shipment Application* and Reporting Documents*.
  4. Provide HPIC with current project’s medical needs list.

How HPIC can help

For more than 17 years, HPIC has been cultivating and building relationships with Canada’s health-care industry to obtain donations of medicines, medical supplies and vaccines.

HPIC currently partners with about 80 companies from all sectors of the health-care industry: research-based and generic pharmaceutical companies, biotechnology companies, manufacturers of over-the-counter medicines and providers of medical and dental supplies.

All of the medical aid that HPIC provides is donated by Canadian companies.

The Manager of NGO Programs allocates available products to match medical needs overseas. NGOs can reserve available products on a first-come, first-served basis. Quantities requested must be appropriate according to need and assurances must be given that all medicines will be used before expiry.

Shipping options

HPIC has a variety of options.

  1. Physician Travel Packs
  2. Community Health Project (CHP) shipment to be personally carried overseas
  3. CHP skids for airlifting
  4. CHP bulk containers for sea transport

Agreement between HPIC and NGO partner

Funding

  1. NGOs pay shipping costs in full
  2. NGOs are asked to make a donation for each shipment
    • donation is based on the wholesale value of the contents, size of the shipment, expiry dating, and other factors
    • donation is expected once shipment has left HPIC’s Distribution Centre

Customs clearance

NGO must have arrangements in place for medical aid to clear customs.

Distribution

NGO must have a secure product distribution plan in country.

Commitment

  1. NGO project on the ground must dispense all products prior to expiry.
  2. Any expired product must be destroyed in an environmentally responsible manner.
  3. All donated medical aid must be distributed free of charge and without discrimination.

Reporting and Communications

  1. Upon clearing customs in country, NGO completes and submits a Confirmation of Safe Arrival* form to HPIC.
  2. Subsequently, the NGO sends a completed Shipment Report* to HPIC.
  3. NGO agrees to allow HPIC to use stories and photos submitted as part of the reporting process in HPIC’s communications materials and website.

Reporting, stories and photos are an essential element to NGO partnership with HPIC as we are committed to accountability to our donors. These reports help HPIC obtain the products that are so needed in the field and ensure the funding needed for continued operation.
